Reporting to Culture and Employee Experience Manager, Culture and Employee Experience Officer is accountable for the following ongoing set of results, which are required to continuously propose improvements from time to time, under close supervision of direct report.
Ensure to keep the receptionist warm and professional at all time, including:
• Warmly welcome guests, take guests to meeting rooms, and serve water/coffee to guests
• be responsible for new client approach and take further actions on that
• Answer phone calls in a timely manner (within 2 rings)
• Manage office postal letters/documents/packages
• Prepare logistic for BOD meeting at office (internal meeting and client meeting)
Office management & Assist BOD:
Maintain the workability for the office, including:
• Office cleanliness and orderly
• Office security
• Fire protection
• Office equipment including Meeting room (5 mins after meeting)
• Stationary order and distribution
Ensure all employee benefits that are accountable by Admin are well arranged to the team. Creating and maintaining a comfortable and warm atmosphere for the team so that they are engaged with the company.
• Logistics for employees including travel arrangement etc.
• Ensure internal service that maximally support employees to complete their jobs
• Organize birthday events, internal parties or other events that helps inspiring employees
• Onboarding preparation for new employees (at least 1 day prior to start date)
• Arrange and follow up onboarding schedules of all new employees in the first two week
Complete secretary works assigned by all managers/directors/guests (photocopy, print, table reservation for business purposes, food order, tea break for meeting, etc.). This needs to be arranged in such a way that don't impact the Administration and CEX work which are her 1st priority.
Corporate Culture/Team Building roles
• Implementing corporate culture initiatives/events and ensuring each employee is clear of what a core value looks like and lives the value.
• Cooperate with HR team to implement team building event. This event is normally conducted yearly to the extent allowed by budget.
• Organize casual team building occasions (Tet, Woman's Day, ABA’s Anniversary, Children's Day, Moon Festival, Halloween, Thanksgiving, Christmas... if any)
• The CEX officer is a living example of ABA's core values.
Beyond above descriptions, the officer has to complete other tasks as assigned by direct report.

• Master in using Microsoft Office (Word and Excel)
• Strong communication in both English and Vietnamese, in both verbal and writing
• The CEX officer has made significant accomplishments, as a team member under the supervision/coaching of CEX Manager, in providing extraordinary office management and administration services.
• The CEX officer takes on the relevant commitments of the CEX Manager as their own commitments.
• The CEX officer is committed to dealing powerfully and effectively with service providers to get the best possible price.
II. Working Experience
a) Has at least 2 years working experience in a 5-star hotel in a relevant role for administration
b) Did not jump jobs frequently
c) Strong performer (move up quickly in previous jobs) is preferred.
