Responsibilities
Project Coordination (30%)
- Arranges meetings, including agendas and minutes, and maintains Google Calendars.
- Compiles and organizes departmental weekly, monthly, quarterly, and annual reports.
General Administrative Tasks (30%)
- Coordinates payments for various events, projects, materials, and resources for both internal and external suppliers.
- Creates, procures, and/or arranges delivery of training certificates, letters, and awards and various recognitions.
- Supports and coordinates internal communication, such as the Product and Technology newsletter.
HO-TECH Resources & Documentation (20%)
- Creates, updates, and maintains internal websites, such as Teaching Hub.
- Organizes, maintains, and supports with updating HO-TECH-specific documents for Document Control.
- Organizes, maintains, and supports with updating HO-TECH internal documents and files.
- Orders and maintains stationary & resources for the staff in HO-TECH.
Supplier Coordination & Product support (when applicable) (10%)
- Works with publishers and suppliers to request resources, such as product codes.
- Requests course books and other materials, as needed.
New Projects and Initiatives (10%)
- Supports documentation and coordination new project initiatives
- Manages pay and budget for projects and content developers
- Supports administrative work with projects, including sorting, organizing, and detailing processes.

Skill Requirements
- Organizational: Ability to manage multiple tasks, events, and projects efficiently.
- Communication: Strong interpersonal verbal and written communication abilities for internal coordination and external liaising. English level at upper intermediate or above.
- Technological Proficiency: Familiarity with educational technology, Google Workspace (Docs, Sheets, Forms, and Sites) and MS Office (Word & Excel).
- Attention to Detail: Precision in managing documentation and organizing files.
- Problem-Solving Skills: Analytical ability to address HelpDesk inquiries and product issues.
- Project Management Skills: Competence in supporting projects, managing budgets, and coordinating administrative tasks.
- Financial Management: Proficiency in handling departmental budgets, payments, and financial reporting.
- Designing skills: Proficiency with Canva desirable
Language: English level at upper intermediate or above.
Computer: Proficient with Google Workspace (Docs, Slides, and Sheets) and MS Office (Excel and Word). Experience with Google Sites desirable.

Required Experience
- At least 1 year of experience in administration, office management, or project coordination.
- Experience in handling budgets, payments, and financial reporting.
- Experience in managing documentation systems and supporting internal communication.
- Familiarity with coordinating multiple stakeholders (internal teams, external suppliers, publishers).
- Experience in supporting new projects and initiatives, including documentation and process organization
Required Education and qualifications
- Bachelor’s degree from a regionally accredited institution/university or equivalent international university.
- English level at upper intermediate or above.
